New

Quickstream Payment Gateway integration

We have added the new Westpac Quickstream payment gateway to our available list of integrations. This is set up in the same way that other existing payment gateways are, and is fully integrated with the system. Access via the Applications & self-service portals.

Improved

Certificate functionality (expiration date and revocation)

Following feedback from users on our recent certificates work, we have implemented some new features into our certificate functionality.

Expiration Date

Users now have the ability to set expiration dates for Certificates. To support that we have added a new field, Expiration (Months), which allows the user to specify a default duration for these certificates.

When generating a new Certificate, expiration date will automatically be applied to Certificates if the template being used has an Expiration period specified.

The user can also override this at the time of generating the Certificate.
These changes apply to issuing Certificates from the Party/Course and Progress Centre.

Revoke a Certificate

We have implemented a Revoke Certificate feature, which can be accessed from the Course/Party Certificate list pages.

Revoked Certificates will not be viewable by default, so a new filter has been implemented on these pages to enable these to be viewed.

We have added new fields to the Report Builder - Certificate Expiry Date, Certificate Revoked Date and Certificate Revoked By.

We have also resolved an issue that was preventing the Student: Certificate Date, and the Student: Certificate Printed fields from being populated in Custom Reports when an award had been flagged as Not Reportable. This now only excludes certificates that have been Revoked.

Cert Check

We have updated the Cert Check feature to now display if a Certificate has Expired or been Revoked.

Compliance and permissions improvements

Victoria - Commencing Program Cohort Identifier

On Victorian enrolments, the Commencing Program Cohort Identifier option of 'NN' (No specific cohort) has been removed. To report 'No specific cohort', please leave the Commencing Program Cohort Identifier blank.

AVETMISS – Course State Filter

We have relaxed the filter on Course State when using the AVETMISS wizard and Claims Reporting wizard. An enrolment with a contract will use the state for the contract, instead of the associated State of the course. Previously, the extract logic would filter on both Course State and the Contract State, so if there was a mismatch it wouldn’t appear in the file outputs.

Predominant Delivery Mode

When selecting a Delivery Mode for a course, enrolment or unit, the options available in the Predominant Delivery Mode select list are now filtered to only list options that are relevant for the selected Delivery Mode.

Party Audit Trail 

We’ve updated the Party Audit Trail to record data changes to the Party AVETMISS page. Fields included: 

• Country of Birth
• Town/City of Birth
• Nationality
• Prior Educational Achievement Identifier
• Prior Educational Achievement Recognition Identifier
• Citizenship Status
• Citizenship Effective From Date
• Citizenship History > Citizenship Status
• Citizenship History > Effective From Date
• Disability Type
• Disability Type > Start and End Dates

Permissions updates

• Integration Program instance settings
  • We’ve added a new User Role permission that allows access to the Integrations menu from a Program record. Users without this permission will not be able to view this menu option.

• System Status
  • We’ve added a new User Role permission that allows access to the System Status menu, within the Administration tab. Users without this permission will not be able to view this menu option.

• Victoria VSN Export
  • We’ve added a new User Role permission that allows access to the Victorian VSN Export menu, within the Administration tab. Users without this permission will not be able to view this menu option.

• Setup – CRICOS
  • We’ve adjusted the Setup - CRICOS permission to include access to the Administration > Lookups > International Data menu option, within the Setups page. Users without this permission will not be able to access this menu option.

• Setup – Outcome Types
  • We’ve adjusted the Setup - Outcome Types permission to include access to the Administration > Outcome Types menu option, within the Setups page. Users without this permission will not be able to access this menu option.
    

Ready LMS rebrand

aNewSpring has now been renamed across the system to reflect its new name. It will now be known as Ready LMS.

API - Prior Educational Achievement Recognition Identifier

The Party API endpoint will now default any new prior-education records provided with the appropriate Prior Educational Achievement Recognition Identifier value.

Add/Delete Supporting Staff API 

Last release we introduced a new API to pull Support Staff information from an event. 

We’ve added another update that now allows you to add or delete Support Staff from an event via the API.

Removing or adding a Supporting Staff member will also adjust the Attendee list of an Event.

Filter for inactive course forms
We have updated the course form list view to hide inactive forms. Disabled course forms can be added via a filter.

Certificate API

We have added the expiry-date and revoked-at fields to the following Certificate API endpoints:

• GET /webservice /certificates 
• GET /webservice /certificates /{id}

We have added the expiry-date field to the following Certificate API endpoints:

• POST /webservice /enrolments /{enrolment_identifier}/certificates
• POST /webservice /certificates /{id}

We have added a revoked-since parameter to the GET /webservice/certificates API endpoint, which can be used to find all certificates revoked since the date/time supplied.

TCSI Reportable Outcomes
We have updated the client unit of study reporting in the TCSI file extract and API. Clients are now able to setup custom unit of study outcome codes and names, and map these to the appropriate TCSI mandated outcome types in the Reportable Outcomes column.

Fixed

28003 - We have fixed an issue where AVETMISS reporting of contracts with a secondary state were incorrectly reporting the Purchasing Contract Identifier for the primary state. The secondary state will now always report a blank Purchasing Contract Identifier.

27795 - We have fixed an issue with Automatic SmartFees where the calculation bubble was displaying “Fee manually added to invoice” instead of “Fee no longer applicable”.

27659 - We have fixed an issue where the Course Commenced While at School field was incorrectly shown on the Bulk Enrolment wizard.

27243 - We have fixed an issue where some Mass Action Centre (MAC) pages were accessible for sites that had them disabled.

26897 - We have fixed an issue on the Progress Centre > Units page where the end dates were not auto populating with the same rules as similar pages where outcomes and end dates can be edited on Units.

26509 - We have fixed an error that could occur on the Smart Fees Invoicing page when an associated unit of an invoiced Smart Fee was removed.

27804 - We have fixed the logic for setting the Program Enrolment Identifier field for Victorian AVETMISS reporting, so it now works correctly when the enrolment contract has a secondary state = Victoria.

28106  - We have fixed an issue where an incorrect calculation could be displayed on the modal for changing a DebitSuccess schedule.

28064 – We have fixed an error that could be shown when doing a bulk submission of eCAF records on the eCAF Manager page after switching Training Provider.

27912 - Users were unable to generate forms due to an error 500 message displaying using Document Packs. This has now been resolved.

25487 - We’ve resolved an issue with certain menu items appearing to users without authorised user role permission to do so.

27700 - We have resolved an issue with the Student Importer where single named students would throw an error if there was another student with the same single name in the system and only two pieces of matching data.

28183 - We fixed an inconsistency with the UI where fields were overlapping each other when generating a RAPT report when the Activity Reporting year is set to ‘All’.

27881 - We’ve made an adjustment to the Program Delivery Rule that will no longer include Disable Units as part of the Delivery Rule counts.

28084 - Course forms with auto-enrolment will now enrol students into mandatory Units of Study setup on the course.

28314 - Fixed an issue with the list attendees API endpoint not applying the event_id filter.

28087 - Fixed an issue where iCal was only picking up the first event in series of repeating events. All repeating events are now exposed in the iCal.

28069 - We have resolved an issue in the Moodle integration that prevented the display of Moodle users on the Moodle 2021 integration settings configuration page.

27980 - We have resolved an issue in the Moodle integration that prevented the updating of Resulting Moodle integration settings for users using the Moodle 2021 integration.

28050 - An issue in the TCSI Integration Centre causing the Bulk Sync function to fail when using filters and “select all” together has been fixed.

23835 - We have resolved an issue that would cause parties to fail to merge in some edge cases when using the Party merge feature.

27975 - We have resolved an issue with Address Validation for the Online Enrolment Portal. A student will now be saved if no address is provided.

28253 - Fixed an issue where updating an enrolment for courses without a State/Region value raised an error. This issue occurred after some earlier changes to Filter Delivery Mode Predominant values by Delivery Mode.

28204 - We have resolved an issue in the Employer Portal that could prevent the Attended column from being populated.

28100 - We have resolved an issue when Switching to Folder view on the Unit of Study documents page.

28035 - The Subject Details Importer will now log more details when logging an error.

27940 - We have updated the list of outcomes considered as Completion outcomes to include outcome identifier 25 - Competency Achieved via Gap to now be recognised as a completed unit. This will update Certificate Rules to identify this outcome as a completion when generating certificates.

27700 - We have resolved an issue with the Student Importer where single named students would throw an error if there was another student with the same single name in the system and only two pieces of matching data. The importer will now recognise the duplicate and allow user to choose to Override/Add or Ignore when importing.

26228 - We fixed an issue where some templates were displaying different line breaks between the template editor and the final letter that was generated.

25847 - We have resolved an issue where Trainers could not access party records when assigned the Access to All Students role.

27188 - We have updated the party address so that the Address Lookup field will only be visible when the country selected is Australia or New Zealand. 

27133 - We have reordered the party address fields to a match a more common sequence for data entry.

27231 - For party addresses, we have align the the Location field with the Primary address radio button.

27234 - We have hidden the Street Type field on party addresses as this field is no longer populated by our address lookup functionality.

27232 - For Party addresses, we have updated our Address Lookup functionality to return the selected address to the respective fields for further editing. With this, we have also deprecate the ‘Address Verified’ status.
