Finance Hub Overview

The Finance Hub provides an intuitive interface to interact with invoices, payments, quotes, and more. This article will guide you through the various features and functionalities available within the Finance Hub.

Accessing the Finance Hub

To access the Finance Hub, log into your site and go to Sales → Finance Hub.


You will see multiple tabs for different finance related items, each one gives a different view where you can interact with the respective item. 

Click on the Search button on each page to bring up items of the respective type. You can also narrow down the results by using filters under the Filters dropdown. 


Quotes

The Quotes section enables you to efficiently manage quotes. Here's what you can do:

  • Filter Quotes, you can filter what is shown on the Quotes page:
    • Date: Filter quotes by their creation date.
    • Status: Filter quotes by their current status.
    • Target: Filter quotes based on the target.
  • Bulk Actions, allows you to make changes to multiple quotes at once:
    • Update the status of multiple quotes at once, typically to "Approved" or "Rejected."
  • View or edit individual quotes

Invoices

The Invoices section allows you to efficiently manage your invoices. Here's what you can do:

  • Filter Invoices:
    • Amount: Filter invoices based on the invoice amount.
    • Course Code: Filter invoices by the associated course code.
    • Course Name: Filter invoices by the course name.
    • Debtor (Party): Filter invoices by the debtor, allows you to search for a specific party profile.
    • Debtor (Target): Filter invoices by the debtor, which can be a specific entity.
    • Groups: Filter invoices by groups.
    • Invoice Date: Filter invoices based on the invoice creation date.
    • Overdue Age: Filter invoices by how long they have been outstanding. You can choose any combination of the following three options:
      • Overdue 1-30 days

      • Overdue 30-60 days

      • Overdue 61+ days

    • Party ID: Filter invoices by the party ID.
    • Payment Due Date: Filter invoices based on the payment due date.
    • Status: Filter invoices by their status.
  • Quick Dropdown Options, allows you to filter invoices with the following options:
    • Outstanding: Displays invoices with a payment due date that has lapsed
    • All: Will display all invoices in your system
    • Cancelled: Shows all invoices with a Status of Cancelled 
    • Active: Shows all invoices with a Status of Active
  • Bulk Actions, allows you to communicate information about multiple invoices at once:
    • Email or SMS invoice information in bulk to recipients.

Payments

The Payments section allows you to manage payments effectively. Here's what you can do:

  • Filtering Payments:
    • Amount: Filter payments by the payment amount.
    • Debtor (Party): Filter payments by the debtor, allows you to search for a specific party profile.
    • Party ID: Filter payments by the party ID.
    • Payment Date: Filter payments by the date of payment.
    • Reference: Filter payments by the reference.
    • Source: Filter payments by their source.
  • Bulk Actions, allows you to communicate information about multiple payments at once:
    • Email or SMS payment details in bulk to recipients.

Payment Plans

 Note

Payment Plans must be enabled on your site for this section to be visible. This feature can only be enabled by ReadyTech Support or your Customer Success Manager.

The Payment Plans section allows you to manage payment plans effectively. Here's what you can do:

  • Filtering Plans:
    • Overdue Status: Filter plans based on their overdue status.
    • Status: Filter plans by their status.
    • Type: Filter plans based on their type.
  • Bulk Actions, allows you to communicate information about multiple payment plans at once:
    • Email details about payment plans in bulk.

Family Payments

If you make use of the Host Family functionality, the Family Payments section provides you with various tabs for different interactions. Here's an overview:

  • Payments Tab: Displays any family payments created for the host family.
  • Variations Tab: Displays any variation payments associated with the host family (exact nature of variations may vary).
  • Create Payments Tab: Allows you to create payments for the host family by specifying a date range.


Unallocated Funds

The Unallocated Funds section serves as a place to track unallocated funds within the system. Here's what you need to know:

  • Adding Unallocated Funds:
    • Click on the "Add New Fund" button to create an unallocated fund.
    • Enter the amount for the unallocated fund and click on "Save".
    • Unallocated funds represent payments that are not yet attached to an invoice item.

  • Assigning Funds:
    • After creating the fund, you can assign it to an invoice for a party profile by clicking on the Link icon.
    • Search for the invoice you would like to link the payment to and click on the Payment icon.


Credits

The Credits section allows you to efficiently manage your Credit Notes. Here's what you can do:

  • Filter Invoices:
    • Amount: Filter credit notes based on the invoice amount.
    • Course Code: Filter credit notes by the associated course code.
    • Course Name: Filter credit notes by the course name.
    • Debtor (Party): Filter allows you to search for a specific party profile.
    • Invoice Date: Filter credit notes based on the invoice creation date. 
    • Party ID: Filter credit notes by the party ID.
  • Bulk Actions:
    • Email or SMS invoice information in bulk to recipients.

Commissions

The Commissions section displays all commissions for agents. Here's what you can do:

  • Filter Commissions:
    • Filter commissions by their status: Active, Inactive, or All.

Reports

The Reports section allows you to run various finance-related reports.
