Prospect/Referral Setup

Prospects allow you to efficiently manage flagged referral items for your system. This article covers the backend configuration items required for Prospect creation.

Prospects Reference Data

To add reference fields for Prospect items, Navigate to AdministrationLookupsReference Data:

In this area, do a search for Prospect to see all relevant Prospect Reference Data fields:

Select any of the desired Prospect field items to display a new page, with the option to create a new entry for that Prospect item field.

Details for entering each of these unique field item are listed in the sub headings below.


Prospect Cancellation Reason

Click the [+] New button to being adding a new Prospect Cancellation Reason:

When setting up a new Prospect Cancellation Reason, you will need to fill out the following fields:

  • External ID - If left blank, the system will allocate an available ID for this item
  • Name - Enter a name for your new Prospect Cancellation Reason 
  • Enabled - This toggles whether this Prospect Cancellation Reason is usable 


Prospect Referral Status

Click the [+] New button to being adding a new Prospect Referral Status.

When setting up a new Prospect Referral Status, you will need to fill out the following fields:

  • External ID - If left blank, the system will allocate an available ID for this item
  • Name - Enter a name for your new Prospect Referral Status  
  • Enabled - This toggles whether this Prospect Referral Status is usable


Prospect Type

Click the [+] New button to being adding a new Prospect Type.

When setting up a new Prospect Type, you will need to fill out the following fields:

  • External ID - If left blank, the system will allocate an available ID for this item
  • Name - Enter a name for your new Prospect Type
  • Description - Enter a description to clarify the best use for this Prospect Type
  • Enabled - This toggles whether this Prospect Type is usable


Prospects Setup

Prospects also have their own unique configuration option, Accessed by Navigating to AdministrationLookupsProspects Setup:

This will display the configuration menu for Prospects:

On the left hand side navigation panel, you can select if you wish to configure the Prospect Status List, or the Kanban settings for status items.

The main window will display all of the current configured Prospect Statuses, with the option to edit any existing Prospect Status by using the Edit icon on the far right hand side.

In the top right-hand side, a bulk configuration option can be used to enable or disable statuses in this area.

Pressing the [+] button in the top left will navigate to a new window to create a new Prospect Status:

In this area you can configure the follow details when creating a Prospect status:

  • Name - Enter a specific name for this Prospect status
  • Colour - Select a colour to identify this Prospect status
  • Kanban Status - Kanban Status will create a column on the Kanban view. They can be added or modified from Kanban Statuses menu
  • Default Email Template - Select what Email Template should be set as the default for any communications using this Prospect status
  • Set as Default status - Enabling this will set this status as the default status for all new prospect items
  • Enabled - This toggles whether this Prospect status is usable


With this information entered, press the Create button to add this Prospect status to your system.
